Five places D365 F&O licenses go to waste
License waste rarely comes from one big mistake. It builds up quietly from everyday changes. These are the five places we see it most in Dynamics 365 Finance & Operations.
1. People who left
When someone leaves, their account is often disabled in one system but not another, or simply forgotten. Their license stays assigned. Check for enabled users who haven't signed in for 60 to 90 days.
2. Role creep
Users pick up roles as they cover for colleagues or change jobs, and those roles are rarely removed. Each extra role can raise the license they need.
3. Test and generic accounts in production
Accounts created for testing, training or integrations sometimes end up in production with real roles and a paid license. Look for names like test, uat, temp or training.
4. Duplicate identities
Rehires, name changes and contractors who become employees can leave two accounts for one person. Both may hold a license.
5. Broad custom roles
Custom roles built during implementation to "just get people working" often include more than users need. A role that requires a full license, given to people who only approve or view, is one of the most expensive patterns we find.
Make it a habit
A one-time cleanup helps, but the same problems come back. A short weekly check is easier than a big review before every renewal. That's why Kourx License Optimizer scans every week and keeps a history, so you can see waste going down over time.
