Inactive users
People leave, change jobs or stop using the system, and their licenses usually stay assigned. Kourx lists every enabled user who hasn't signed in within the number of days you choose, along with the license they still hold.
Kourx License Optimizer runs inside Dynamics 365 Finance & Operations and finds inactive, over-licensed and duplicate users every week.
| User ID | User name | Last sign-in | Assigned license | Required license | Finding |
|---|---|---|---|---|---|
| jmarsh | Jason Marsh | 6/11/2026 | Operations | None | Inactive 142 days |
| apclerk2 | Dana Ortiz | 10/28/2026 | Finance | Team Members | Over-licensed |
| test_wms01 | WMS Test | 8/30/2026 | Supply Chain Management | None | Test account |
| kpatel | Kiran Patel | 7/5/2026 | Finance | None | Inactive 118 days |
Each report uses your own D365 security setup and sign-in history, so the results match how your system is really configured.

In D365 F&O, the license a user needs depends on the security roles they're assigned. Kourx works out what each role requires, then compares it with what each user is licensed for. Anyone paying for a higher license than their roles need is flagged.
| User ID | Security roles | Assigned | Required |
|---|---|---|---|
| apclerk2 | Accounts payable clerk (view) | Finance | Team Members |
| whlead3 | Warehouse worker | Supply Chain Management | Activity |
| hrview | Employee self service | Operations | Team Members |

Every scan is saved, so you can see whether license waste is going down after your team takes action.
On a weekly schedule, or when someone clicks Run now.
Users, security roles and sign-in history. Nothing is changed.
Each user's license is compared with what their roles require.
In the License optimizer workspace and reports.
Remove or lower licenses using your normal process.
Kourx doesn't use an outside service, so there's no data export or third-party connection to approve.
The scan and the results stay inside your environment. Kourx never receives your user data.
Kourx only reads users, roles and sign-ins. License changes are made by your own admins.
Delivered as compiled code and installed the same way as any other D365 F&O model.
Install and test in a sandbox, then move to production through your usual release process.
The full edition is unlocked with a license file, so upgrading doesn't need a new install.
